The inquiry beside the reply
Project details often arrive scattered across form fields and messages. The workspace brings a captured inquiry into one view and uses your approved business guidance to prepare a first response.
It is designed for staff handling project or service requests. It does not begin by reading an entire mailbox or automatically enrolling customers in a sales sequence.
Staff review before sending
Staff can change the wording, resolve missing details and save the response. They then review it for delivery. At the point of sending, the workflow checks that this reviewed version is still current.
Preparing or saving a draft does not send an email. The system separates drafting from delivery so that the person handling the inquiry remains responsible for what the customer receives.
- Review the inquiry alongside its draft.
- Edit and save before delivery.
- Confirm the current response explicitly.
- Record delivery attempts and follow-up details.
One agreed intake connection
The standard implementation begins with one WordPress website and one agreed intake connection, such as a Gravity Forms configuration or signed webhook. We define sender identity, reply routing, recipients and the approved guidance used for drafts.
Mailbox synchronization, additional forms, attachment processing, CRM write-back and advanced routing are separately scoped. Existing customer records remain in their authorized systems unless an explicit integration requires otherwise.
Delivery checks before launch
A September 2026 client release documented live draft generation, saved revisions, staff review and guarded delivery. Its controlled tests covered duplicate-send prevention and mailer failures as well as successful internal delivery.
A new deployment receives its own dry-run checks and controlled email tests. We verify sender configuration and the intended recipient result rather than treating a successful API response as proof of inbox placement.
Training, responsibilities and support
The implementation proposal covers intake mapping, guidance preparation, staff training, testing and deployment. We also agree who reviews replies, maintains the business guidance and handles failed delivery.
Ongoing service can include guidance review, mail-flow checks, compatibility updates and agreed configuration changes. Provider usage, mail services and other third-party fees are identified separately. This is a managed implementation, with commercial terms set for the accepted scope.
